Highlights of the 7th Planning Meeting

Our meeting of July 16th, 2010, held at Sharon Chamberlain's Office, had the following individuals present:

    • Review of the number of Registrants Friday night, Saturday night - Dan and Jeanne agree on numbers which are reported on the "Who's Coming" web page.
    • Financial Report and projected expenditures - Jeanne provided a detailed account of collections and expenditures covering:
      • Coliseum Bar
      • Madison Club
      • Name Tags
      • Directories
      • Future Newsletters (offer online in the future?)
      • Opportunity for Ad in Football program - Committee voted No because of the expense.
    • Friday night event (Winnie/Jeanne S.)
      • Set up, Greeters, Welcome table, Name tags, Directories, Signs, Video display, Decorations, Games/Entertainment.
      • Re-discuss food options - Committee agreed something should be provided. $500.00 was approved for snacks on Friday evening.
      • Call for any other unfinished business? - None
    • Saturday night event (Jeanne M./ Sharon)
      • Final food choices
        • Cookies - Committee tested and terminated cookies.
        • Ice Cream - Vanilla, Chocolate, Mint, Strawberry or New York Cherry - What's ever available.
        • Set up, Greeters, Welcome table, Name tags, Directories, Sign, Video display, Video distribution, House Books table
      • Call for any other unfinished business - None
    • House Book Update Report (Jeff) - Jeff gave a detailed report covering all contingencies.
    • Directory Report (Dan for Elaine & Jean Bass) Proof has been approved and the directory is being printed.
    • What to do in Madison Info (Lynn C.) - Lynn reported on updates and will have copies available Friday evening along with with 25 Chamber of Commerce booklets and maps.
    • Remembrance Book (Sandy) Both Fri. and Sat. - Finished Book was passed around for all the see. Nice job Sandy.
    • Who's Here Sign (written report from Barb Bailey - Signs are being developed.
    • Last Minute registrations or changes - will be communicated to the committee via email.
    • Thanks to Sharon for this great space in which to meet, eat, and plan. We are indeed appreciative.

Our meeting of June 4th, 2010, held at the Coliseum Bar, 232 East Olin Avenue had the following individuals present:

Agenda items included:

  • Registration update - Friday & Saturday total of 131 registered. Donations total is $580.00
  • Current financial report - Current balance is $6,145.00. The following will need moneys.

  • Name Tag update - Barb Jallings Albrecht presented prototypes of several designs.
    Large print, easy to see. Gathered feedback and will proceed with production.
  • Memorial display update - Sandy Lyons Gardner presented prototype of three ring binder concept
    of both classmates and faculty.
  • What to do in Madison information/ Chamber of Commerce info. - Lynn Hogan Case presented an updated version which will appear on the website.
  • House photo albums by Tom Rich - Jeff presented actual booklets assembled by Tom
    and explained corrections needed and identified questions still needing clarification which he and Dan will
    pursue. Tom's presence was approved by committee.
  • Friday night at Coliseum Bar (Michael Klinkhammer, contact person)
    • Welcome Table - Name Tags, Directories discussed and arranged.
    • Food Options - Food is available for individual purchase at the Coliseum Bar and Restaurant.
    • Decorations - The Coliseum Bar will use the West colors with table cloths.
    • Signage (Including "Who's Here") will be handled by Barb Wedell Bailey.
  • Saturday night at Madison Club (Amy Perry, contact person)
    • Welcome/Greeters at entrances to be determined.
    • Welcome/Registration table - Name Tags, Directories assigned.
    • Food Selections and set up - Drink Tickets - Ice Cream Flavor selections discussed.
    • Any money collected at event? No
    • Dan's DVD of the website media materials will be available free
    • Video set up and microphone will be arranged by Dan.
    • Seating set up may include circular and rectangular tables.
    • Decorations other than table flowers. None
    • Signs downstairs & on food will be provided by the Madison Club.
  • Next meeting - Friday, July 16th, 2010 at noon again at Sharon Chamberlain's office at Chamberlain Research, 660 John Nolen Drive. Thanks to Sharon for this great space.

Agenda Items Included:

  • Report on Registration - Dan N. - We have a total of 94 paid participants which does not include 4 Friday only participants. Of the 94 paid participants 58 are classmates and 36 are spouses or guests.
  • Report on Bank Balance & Donations - Jeanne M. - $4,000.00
  • Friday Night Venue - After extensive investigating regarding size, parking convenience, noise levels, food support, service, costs, availability, and handicap accessibility a unanimous decision was made by the committee to have our Friday night venue at Luedtkes Coliseum Bar at 232 East Olin Avenue, in Madison.
  • Report on Name Tags - Barb A. - Barb displayed two large name tag prototypes with the smaller of the two winning the most favor with the committee. The prime objective being ease of reading and recognition of the included Senior photograph. She will make some adjustments for our next meeting.
  • Activities Sheet Update - Lynn C. - Lynn seeks input in the form of additional suggestions and resource to incorporate into the document.
  • Report on Directory - Elaine P. - The development of the new 2010 Directory is moving ahead nicely. Where Elaine has not received Directory Form input she will print the information as it is listed in our database.
  • Report from Tom Rich (House Photos), His space needs - Jeff H. will bring an example of Tom's work to our next meeting.
  • Saturday Menu Selection - Sharon C., Jeanne M. - This will be a main agenda item at our next meeting.
  • Videographer offer to consider - Jeanne M. - Not supported favorably by the committee.
  • Program Considerations & Discussion - Dan N. - It is believed that what individuals want at this reunion is a relaxed, comfortable, environment in which they can visit, dialoging, and focusing on one another.
  • Decorations and Displays - Sandy, Barb P. Gail - Decorations will be provided by both establishments and displays will be an agenda item at the next meeting.
  • Postcard reminders & sending date - A prototype will be created for mailing during the month of May.
  • Next meeting date - Our next meeting date will be Friday, June 4th, 2010 at 12:00 noon at the Coliseum Bar, 232 East Olin Avenue.

  • Discussion of Friday Night Options - Basically more investigating regarding size, parking convenience, noise levels, food support and service, etc., needs to be done before a final determination can be made.

  • Discussion on Letter/Registration Form to be sent out - Suggestions were made and discussed. Jeanne will develop a Registration Form, a copy of which will appear on the website as soon as possible. Also, Jeanne will provide Dan with a list of Registered individuals to be placed on the "Who's Coming" page of the website, as soon as possible
  • The Committee also discussed food selection and took a tour to view the rooms at the Madison Club we will be using.
  • Other discussions included: Set Up, Name Tags (Keep them large), and the Directory which is being updated by Elaine Statz Penpek who has received 107 Directory Information Forms from classmates.
  • Next meeting date
    • It was decided our next meeting will be held in April.
    • The next meeting location will probably be at one of the establishments that can support our Friday night venue.

  • Report on Brick Donation to The Ash Street Project
    • Sue Ferris Carter mailed in our $250 donation for a brick representing the class of 1960.
    • The brick will read as follows:
      West High School
      Class of 1960
      Celebrating
      50 years
      1960 - 2010
    • The brick will be installed during the Summer of 2010.
  • Options for down payment due The Madison Club.
    • We need to secure our use of the Madison Club for August 7th, 2010 with a $2000 security deposit.
    • We will be using two rooms at $100 per room.
    • It was agreed upon by the Planning Committee to set the fee for the 50th Reunion at $60.00 per individual.
    • To assist in raising the $2000 deposit, many committee members volunteered to prepay their fee (checks made payable to: The Class of 1960). When the funds are available ($60 x 34 individuals = $2,040) Jeanne Lorimer Adams Moren will pay the Madison Club.
    • Our current balance in our checking account is $468 which will be needed for the September newsletter production and postage.
  • Moving Class of 1960 Funds from Anchor Bank to Town Bank and adding an additional signer.
    • Jeannie has checked on establishing a small use checking account with Town Bank. The committee approved moving our account to Town Bank.
    • Gail Belgen Askey volunteered to be the additional signer.
  • Options for Friday Night Venue
    • Barb Feiler discussed the Monona Community Center - $300 fee plus $100 if we use their kitchen. Capacity for 200 individuals. Fireman's Park Shelter is $50. Dream Park Shelter isn't as big and can't be booked until after January 1st of 2010.
    • Barb Feiler Powers discussed the Elks Club, which is available August 6th, 2010 - $350 fee. Jeanne Lorimer Adams Moren discussed the Local Tavern, very loud, & parking problem. Brothers, Zanders, the Avenue Bar, and the Door Creek Club House near Cottage Grove were also discussed.
    • Jeanne O'Neill Skilton discussed the Hilton $250.
    • Jeff brought up the University of Wisconsin Camp Randall facility and will check on it as well as the Inn On The Park Bar.
    • It was decided by the committee to not be in a hurry concerning the Friday night location. Because of the current economic condition it isn't certain who will be in business in August 2010, and there are plans for a few new establishments to become available by then. Other options will also be looked into.
    • Patti Parent Callaway will check with the Stadium Bar. Look at Patti's results as a (pdf) (25.1 KB)
  • Lynn Hogan Case presented a list of suggested free time opportunities for people to go to and see.

    • Other additional suggestions included the Memorial Union Cafeteria Brunch, Babcock Hall Saturday morning Ice Cream, the Oveture Center Roof Top Garden, and Paisans.
  • Report on Class of '59 Reunion events
    • What worked and what didn't work.
    • Numerous beneficial points were made and considered such as name tags: size, color, style.
  • Suggestions for September Newsletter Content
    • Elaine Statz Penpek always does a wonderful job and will again be in charge of the September Newsletter.
    • Dan presented Elaine's proposed 50th Reunion Directory Information Form which will be included with the Newsletter. It was suggested the Reunion days (6th and 7th) be included with the month (August) in the opening paragraph and clarification added to the "Additional Information" section at the bottom of the form.

    It was decided the Madison Club would best meet our needs and will host our 50th Reunion Saturday evening event.

    Sue Ferris will contact The Ash Street Project to submit our $200 brick on behalf of the Class of 1960.

  • Our next meeting will be held Monday, August 3rd at noon, again at Sharon Chamberlain's office at Chamberlain Research, 660 John Nolen Drive. Thanks to Sharon, again, for this great space.

  • Check out a venue for a Fri. nite drop in (100 people?).

  • Check out a venue for Sat. nite with Food Stations and available space (150-175 people?).

  • No one was in favor of 3rd day having a scheduled event. 3 days stretches things out too long.

  • Elaine will produce a Newsletter in Sept. to announce the date/place and ask for updated directory info.
  • Tom Rich has already photographed all of our homes in 1960 which can be used as we see fit.
  • Dan has already scanned all yearbook pictures which can be used as we see fit.
  • Barb Jallings has volunteered to work on Nametags (possibly needing help from Dan Nelson)
  • Ladies luncheon was tabled until we have a date.
  • Jeanne O’Neil has volunteered to look into Hotel Room blocking. Tabled until we have a place and date.
  • Dan & Ray have volunteered to man the website
  • No one volunteered to head up putting display of photos, memorabilia, etc. together yet. Should be a small committee unto itself.
  • People will email the results of their inquiries to Jeanne Moren as soon as they have them within the next 2 weeks.
  • We will invite more classmates to be a part of the next planning meeting. Our next meeting will be held Monday, June 1st at noon, again at Sharon Chamberlain's office at Chamberlain Research, 660 John Nolen Drive. Thanks to Sharon for this great space.
  • Lots yet to be decided but we have a start.
